Final Report Forms

All final reports are completed and submitted in Nova, OAC’s online granting system. This now includes grants received through a paper application process. For instructions on how to log into Nova, see the Nova User Guide. You will find the report form in your Nova profile, under Action Items. Music Recording Projects

Purpose

The program supports the recording of music by Ontario-based musicians including composers, songwriters and beat producers. There are two categories:

  • Demo/EP recordings:
    • EP recording of a series of songs that may be released individually or as a short album, 25 minutes maximum, intended for public release
    • Demo recordings for the purpose of demonstrating newly developed work for labels, funders, presenters, promoters, festivals, etc. These recordings may or may not also be intended for public release
  • Full-length album: a single work or collection of compositions, 26 minutes minimum, recorded for public release in physical format or an online platform. The album is only considered complete after it has been publicly released. If you are applying for this category, you should be ready or nearly ready to begin recording. Note: Full-length recording projects are only considered complete once the recording is publicly available

Priorities

The program’s priorities are to support:

  • music created by Ontario composers/songwriters as well as works by other Canadians. If your project features non-Ontario composers, a compelling case should be made for how the project will add to what is currently available to the public (for example, currently unrecorded, rare music, or a foremost performer of the music of a specific composer)
  • projects that enhance the range of recorded music available to the public (locally, nationally and internationally)

Deadline Dates

May 16 and November 15, 2018, 1 p.m. ET
  • Applications are available in Nova approximately two months before the deadline.
  • Grant notification will be available approximately four months after each deadline.

Grant amount(s)

  • Demo/EP recordings: maximum $5,000
  • Full-length album: maximum $12,000

Important: Due to the number of applications received and the limited funds available, grants awarded may be smaller than the amount requested.

Recent changes

  • This is a new program that has merged recording activity from the Popular Music and Classical Music Recording project programs.
  • Recordings in conjunction with a residency at the Banff Centre are no longer eligible.
  • Organizations that receive a grant in the Music Organizations: Operating program are no longer eligible. Note: If you are working on a recording project with an Ontario composer or collective of composers, they may be eligible to apply for the project.

Eligible applicants

  • professional musicians and composers who are Ontario residents and have a permanent physical address in Ontario
  • professional music ad hoc groups/collectives and organizations based in Ontario with a permanent physical address in Ontario
  • Ontario-based, professionally-led community orchestras and choirs, as well as choral training groups whose project includes fees to professional musicians or composers

Ineligible applicants

  • recording studios
  • record companies/labels, managers, agents and lawyers
  • municipalities, colleges, and/or universities
  • schools
  • religious institutions
  • organizations that receive a grant in the Music Organizations: Operating program
  • organizations that receive an operating grant in other OAC programs, with the exception of organizations mandated to serve one or more of the OAC priority groups.

This program funds

  • recording, mixing, mastering
  • artist and producer fees, including fees to the applicant. For live recordings, additional artist fee for recording (i.e. step-up fees) are eligible, but not the fee for live performance itself
  • studio and venue rental
  • recording media, such as tape and hard drives
  • packaging artwork and design
  • promotion and marketing expenses including web design that will assist with distribution
  • manufacturing, up to the first 1,000 units
  • equipment rental

This program does not fund

  • expenses for activities that take place outside of Ontario
  • school projects
  • compilation projects (i.e. an album that is exclusively a re-release of previously recorded material that has been made public)
  • video projects, including music videos
  • recordings of film scores/soundtracks as part of a movie/video production, video projects or incidental music for dance or theatre productions
  • composition/songwriting
  • rehearsal
  • live concert production costs
  • capital expenses
  • fundraising activities

Activity timing

The activities for which you are requesting funding:

  • cannot start before the deadline
  • cannot finish before you receive your grant results
  • must be completed no more than two years after you receive the grant results

Note:

  • Project completion schedule should consider the time required to fulfill OAC acknowledgement obligations (see Final report requirements section below).
  • Full-length recording projects are considered complete once the recording is publicly available.

Final report requirements

If you receive a grant you must submit a final report upon completion of the project. See Terms and Conditions for Project Programs for more information on reporting obligations. Complete and submit the report in Nova.


Note: Full-length recording projects are only considered complete once the recording is publicly available.


Final reports for this program require grant recipients to provide:

  • description of the project undertaken and its outcomes, including details on any minor or approved changes to what had been outlined in the application
  • final budget
  • web link to where the recording is available to the public (not required for Demo/EP recordings that are not being commercially released)
  • sample audio files of the recording (maximum two tracks)
  • documentation and/or an explanation of how you acknowledged or will acknowledge OAC support for your project
    • For CD/vinyl releases: The OAC logo must appear on the album's back cover. You must supply images of the front and back album covers and any additional sleeve/booklet pages featuring the OAC logo.
    • For online-only releases: Every effort must be made to include OAC acknowledgement where the music is being distributed and you must supply a screen capture to demonstrate this. Otherwise, you may include the OAC logo on other materials produced in conjunction with the project, such as publications, brochures, posters, invitations, websites/social media or videos/films and provide documentation of this. You may also describe any verbal acknowledgement of OAC at public events.
    • For Demo/EP recordings that are not or will not be released publicly: Reasonable effort should be made to include OAC’s logo on public facing platforms (e.g. website/social media) and you must supply a screen capture to demonstrate this. In addition, or if this is not possible, describe verbal acknowledgement at public events and/or an explanation of how you intend to acknowledge OAC in associated future activities or materials.

Note: The budget should show that the OAC grant was spent on eligible expenses. Expenses for activities that take place before the application deadline or outside of Ontario are ineligible (i.e. not covered by this grant). These ineligible expenses should appear on the budget, but be sure to include other sources of revenues to cover these costs. You may need to attach budget notes to list revenue and expense line items that include a mix of eligible and ineligible expenses. Unused grant money must be repaid. Projects that show a surplus of more than $250 (revenues over expenses) may be required to repay the surplus amount to OAC.

Complete and submit an application in Nova, OAC’s online grant application system. You will be able to do this approximately two months before the deadline.

  • artistic examples:
    • two audio or video examples, with a combined time of no more than five minutes
  • support documents:
    • résumés or bios
    • letters of confirmation from key participants
