Updated policy on eligibility and final reports

The Ontario Arts Council (OAC) has updated its policy regarding applicant eligibility and final reports. The goal of this change is to harmonize reporting requirements for artists who apply for grants both as an individual and as part of an ad hoc group/collective.

 

What’s the current policy?

Currently, an individual, organization or ad hoc group/collective cannot submit a new application to OAC, or receive payment for an awarded grant, if they have a final report for a past grant that:

  • is past its due date and has not been submitted;
  • is past its due date, has been submitted, but requires revisions in order to be approved; or
  • has been submitted but cannot be approved because of substantial or unresolved issues.

 

What’s changing?

1. The first change applies to individuals who are members of an ad hoc group/collective, and have taken responsibility for a past grant to that group.

  • If the final report for this grant is overdue or unresolved (as described above), these individuals will be personally prevented from applying for a new grant or receiving payment for an awarded grant until these final report issues are resolved.

2. The second change is the inverse – it applies to ad hoc groups/collectives in which the member(s) taking responsibility for grants/applications also apply to OAC as an individual.

  • Now, if the individuals responsible for the group’s application or grant personally have an overdue/unresolved final report, the group will be prevented from applying for a new grant or receiving payment for an awarded grant, until:
    • the individual’s final report issues are resolved; or
    • another member of the ad hoc group/collective takes on responsibility for the application/grant.

 

How do I know if I have an overdue final report or one that requires revisions?

  • Log in to Nova, OAC’s online application system, and find information about your final reports under the Action Items section of your homepage.
  • Also, a warning message will appear at the top of any new application if there is a final report-related issue which will prevent its submission.
  • Finally, you can contact an OAC staff member working in your discipline or area of practice by consulting our staff directory.
