This Guide to Support Material provides important information about submitting artistic examples and support documents to Ontario Arts Council’s (OAC) operating and project programs through OAC’s online granting system (Nova).
Support material is an important part of your grant application to OAC.
- Support documents confirm or expand on information in your application.
- Artistic examples present artwork.
Online applications identify the mandatory and optional requirements for each program, as well as limits on the number and length of examples and documents.
If you do not submit the mandatory artistic examples and/or support documents detailed in the instructions, your application is considered incomplete and will be withdrawn from the competition.
Assessors are instructed to spend a maximum amount of minutes in total in their review of the artistic examples as described in the Nova online application instructions.
Instructions
The OAC recommends preparing and submitting your artistic examples and support documents several days before the application deadline.
For all uploads of audio, video and/or digital files, or PDF documents, the larger the file, the more time and bandwidth it will take to upload on the Nova online application.
Please reduce file size as much as possible.
Be sure to test your artistic examples and support documents. It is advisable to test on different browsers.
All artistic examples and support documents must be submitted through the Nova online application.
Video files
- Videos are submitted through the Nova online application or through Vimeo.
- Video files streamed through Vimeo that have been changed after the deadline date are inadmissible and will not be reviewed by assessors.
- All other online streaming hosts, e.g. YouTube, are inadmissible and will not be reviewed by assessors.
- Submit no more than the maximum number of files identified in the application.
Technical requirements
Files must be:
- PC and Mac compatible
- One of following file formats: AVI, MOV (QuickTime Video), MPEG, MP4, WMV (Windows Media Video)
- 300 MB maximum
- Vimeo links are accepted
Audio files
- Audio files are submitted through the Nova online application or through Vimeo or SoundCloud.
- Audio files streamed through Vimeo or SoundCloud that have been changed after the deadline date are inadmissible and will not be reviewed by assessors.
- All other online streaming hosts, e.g. YouTube, are inadmissible and will not be reviewed by assessors.
- Submit no more than the maximum number of files identified in the application.
Technical requirements
Files must be:
- PC and Mac compatible
- One of following file formats: MP3 or WAV
- 20 MB maximum
- Vimeo and SoundCloud links are accepted
Digital images
- Submit no more than the maximum number of digital files.
Technical requirements
Files must be:
- PC and Mac compatible
- in jpg file format only
- a maximum size of 5 MB per image file
Manuscripts, music scores, scripts, zines, and support documents
- Submit no greater than the maximum number of documents and maximum number of pages for a document.
- It is suggested that support documents have a non-serif font not less than 11 points in size.
Technical requirements
Files must be:
- PDF documents only
- submitted as portrait oriented-files, not landscape
